What we collect, who else touches it, how long we keep it, and how to get it back. Questions to eric@planyourset.com.
The short version: we collect what's needed to run your song library and bill you for it, we don't sell any of it, we don't advertise to your congregation, and we never see your card number.
Plan Your Set is run by Eric Haley, at planyourset.com. We're the ones responsible for the personal information described here. Contact us at eric@planyourset.com.
Throughout, your team means the account you belong to — a church, a worship team, a touring band, or you on your own. The app says "church" because that is where this started and where most of it is used.
Your email address and password (stored hashed — we can't read it), and optionally a display name and a profile photo. Your team's name, and optionally its logo and colour.
Everything you put into the app: songs and their details, arrangements and sections, set lists, set breaks and loops, rehearsal and schedule information, stage plots and channel lists.
Some of that is about other people — the names of the team members you schedule, and who's away when. Section 8 covers that specifically, because some of them may be minors.
Multitracks and stems, plus the copies the product makes from them: smaller previews for scrubbing in the browser, pre-bounced song mixes, and practice mixes you share with your band.
We never receive, store or see your card details. Payment happens on Stripe's own pages. What comes back to us is a customer reference, a subscription id, its status and renewal date, and the country and state from your billing address where that's needed to calculate tax.
Your name, email, team and whatever you write in the support form or an email.
Standard server logs — IP address, browser, pages requested, timestamps — kept for security and debugging. The app also stores a working copy of your set data in your browser so it opens instantly; that stays on your device.
Only for churches that have Planning Center connected. We cache the team roster, blockout dates, plans and song file references so the Schedule and Stage tabs work. Churches without it — most — have none of this, and those tabs simply stay empty.
We don't use cookies to track you around the internet. The app stores your login session and your light/dark preference on your device, which is what makes it possible to stay signed in.
We use Vercel Analytics for page counts. It doesn't use cookies and doesn't build a profile of you.
We run no advertising trackers. No Meta Pixel, no Google Analytics, no third-party advertising cookies — on the marketing pages or inside the app. If that ever changes we'll say so here before it does.
We do not sell your personal information, and we do not use your songs, stems or set lists to train any AI model.
We're a small operation and we run on other people's infrastructure. These are everyone who touches your data, and why:
| Who | What for | What they see |
|---|---|---|
| Supabase | Database, logins and file storage | Everything you store, including audio |
| Vercel | Hosting and page analytics | Requests, IP addresses, logs |
| Stripe | Payments and subscriptions | Your card, name, billing address, email |
| Resend | Delivering support messages to us | What you put in the support form |
| Planning Center | Only if your church connects it | We read from them; they get no data from us |
| Anthropic | Reading a photographed song sheet, only when you use that import | That one image |
| Google Fonts, jsDelivr, Cloudflare | Serving fonts and libraries to your browser | Your IP address and browser |
All of these are US-based and process data on our instructions. We may also disclose information if the law requires it, or to protect our rights or someone's safety — and if a legal request covers your team's data we'll tell you unless we're forbidden from doing so.
If the business is ever sold or merged, your data may transfer with it. You'd be told first.
Two features hand out URLs that work without a login, which is what makes them useful — and worth understanding:
Links created before Plan Your Set moved to its own domain still point at erichaleymusic.com and still work.
When you schedule your team, you're putting other people's names into the app. You decide who goes in and are responsible for having told them; we hold that information on your behalf and act on your instructions.
Plan Your Set isn't directed at children and we don't knowingly collect information from anyone under 13. But worship teams include teenagers, so a roster may well contain a minor's name and availability — that's your your call to make, and their information is treated exactly like everyone else's here. If you believe a child's information is in the app and shouldn't be, email us and we'll remove it.
No system is perfectly secure, and we won't pretend otherwise. If a breach affects your information we'll tell you promptly and tell you what to do about it.
Whatever you're entitled to under your local law, here is what we'll do on request:
Email eric@planyourset.com and we'll reply within 30 days. We won't charge you or treat you differently for asking.
If you are in the EU or UK, we process your data to perform our contract with you and on our legitimate interest in running and securing the service; you also have the right to object, to restrict processing, and to complain to your data protection authority. Your data is processed in the United States.
If you're in California: we don't sell or share personal information as the CCPA defines those terms, and we don't use it for cross-context behavioural advertising.
If we change anything significant we'll email account admins and update the date at the top before it takes effect. We won't quietly start doing something new with information we already hold.
